Terms of Use

These are the rules of using Total Vault. If you don't agree with them, please don't use the Service.

In plain English
Don’t upload anything you don’t have the right to. We try very hard to keep your files safe but we’re not a substitute for your own backups. If something happens to your data, our liability is capped at what you’ve paid us in the last twelve months (and during private beta, that’s zero).

1. Acceptance

By signing in to or using Total Vault (the “Service”) you agree to these Terms of Use (“Terms”), our Privacy Policy, and our Acceptable Use Policy. If you’re using the Service on behalf of an organization, you represent that you’re authorized to bind that organization to these Terms.

2. Eligibility

You must be at least 18 years old to use the Service. During the private beta, an account also requires an invitation from Total Weddings; the link in your inbox will only work for email addresses we’ve added to our allowlist.

3. Your account

  • Sign-in is by one-time magic link sent to your email. You’re responsible for keeping access to that mailbox secure.
  • Don’t share your account or sign-in links with anyone else. For team access, add team members through the Service.
  • Tell us promptly if you suspect unauthorized access at patrick@lifestyleaviation.com.

4. Your content

You keep all rights to the files you upload (the “Content”). We don’t claim ownership of anything you put in Total Vault.

You grant us a limited, worldwide, non-exclusive, royalty-free license to host, store, transmit, hash, generate thumbnails of, and process your Content for the sole purpose of providing the Service to you. The license ends when you delete the Content or close your account, subject to backup expiry timelines described in our Privacy Policy.

You promise that:

  • You own the Content, or you have all necessary rights and consents to upload, store, and process it through the Service.
  • Your use of the Service complies with all laws that apply to you (copyright, privacy, export control, model-release laws, and so on).
  • Subjects appearing in the Content have given any consents required in the jurisdictions where you operate.

5. Acceptable use

You may not use the Service to:

  • Store or distribute content that is illegal, infringes someone else’s rights, depicts the sexual abuse of minors, or violates our Acceptable Use Policy.
  • Reverse-engineer, decompile, scrape, or attempt to extract source code or proprietary algorithms from the Service.
  • Interfere with the integrity of the Service — bypass auth, probe for vulnerabilities (unless under a coordinated disclosure we’ve agreed to), or attempt to access other customers’ data.
  • Resell, rent, or sublicense the Service without our written permission.
  • Use the Service in any way that interferes with another customer’s use of it.

6. AI features

Total Vault uses AI providers (Anthropic, Cohere) to power optional features like automatic renaming, event grouping, and similarity search. When you use these features:

  • We send only what’s necessary — typically thumbnails, filenames, and structured metadata, not full-resolution originals.
  • Outputs are suggestions presented for your review. We never destructively alter your files based on AI output without your explicit confirmation.
  • Our providers contractually agree not to use your data to train their general models.
  • You can disable AI processing on a per-wedding basis in Settings.

7. Storage, verification, and pricing

During the private beta, the Service is provided without charge to invited testers. Storage limits, verification cadence, and feature access during beta are at our discretion and may change.

When the Service becomes generally available, we will publish pricing on our website and notify existing customers at least 30 days before any paid plan begins. You may close your account at any time before billing starts; closure is immediate and clean.

We make a best effort to verify every file end-to-end. Verification is performed by re-reading the file from object storage and comparing its SHA-256 hash against the one recorded at upload. While we believe this is industry-leading practice, no archival system is infallible. You should maintain your own backups of irreplaceable files in addition to using Total Vault.

8. Suspension and termination

We may suspend or close an account if you violate these Terms or the Acceptable Use Policy, if your continued use would expose us to legal liability, or if your account has been inactive for an extended period (we’ll warn you first).

You may close your account at any time by emailing patrick@lifestyleaviation.com. On closure, the retention timelines in our Privacy Policy apply.

9. Warranty disclaimer

The Service is provided “as is” and “as available.” To the maximum extent permitted by law, we disclaim all warranties, express or implied, including merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that the Service will be uninterrupted or error-free, or that every byte will be recoverable under every circumstance.

10. Limitation of liability

To the maximum extent permitted by law, our aggregate liability for any claim arising out of or related to the Service is limited to the greater of (a) the fees you paid us in the twelve months immediately preceding the claim, and (b) US $100. We are not liable for indirect, incidental, special, consequential, or punitive damages, including lost profits, lost data, or loss of goodwill, even if we’ve been advised of the possibility of such damages.

11. Indemnification

You agree to defend and indemnify us against any third-party claim arising out of (a) your Content, (b) your violation of these Terms, or (c) your violation of any law or third-party right.

12. Changes to these Terms

We may update these Terms from time to time. We will post the updated version with a new effective date and, for material changes, email account owners at least 14 days before they take effect. If you don’t agree to the changes, you can close your account before the effective date.

13. Governing law

These Terms are governed by the laws of the State of New York, without regard to its conflict-of-laws principles. The federal and state courts located in New York County, New York have exclusive jurisdiction over any dispute that isn’t subject to binding arbitration. You and we both waive any right to a jury trial.
