Removing a team member

How an admin removes someone from a Total Vault workspace, what happens to that person's access, and why their uploaded files stay behind.

01Who can remove a member

Only an Admin can remove people from a workspace. If your role shows as Member, you won't see the controls described below — ask an admin to make the change.

Total Vault always keeps at least one admin so the workspace stays manageable. If you're the only admin, you can't remove yourself until you've promoted someone else to admin first.

02Remove someone

Go to Settings → Members. You'll see everyone in the workspace, with their role shown as Admin or Member.

  • Find the person you want to remove in the list.
  • On their row, open the ••• menu on the right (it's labelled Manage member).
  • Choose Remove from workspace.
  • A confirmation asks Remove [name] from the workspace? — confirm it to finish.

The list updates right away, and if the person has another tab open, their view updates too. You won't see the ••• menu on your own row — admins manage other people from here, not themselves.

03What happens to their access

Removal takes effect immediately. The person loses access to the workspace the moment you confirm — they can no longer browse, upload, or open anything in it.

Removing someone also frees up their seat, so your billing adjusts on its own. You don't need to do anything extra.

04Their files stay with the workspace

Anything the person uploaded — photos, videos, projects, folders — stays right where it is. The work belongs to the workspace, not to the individual, so removing someone never deletes their files or leaves a gap in your archive. Everything they added is still there, still safe, and still searchable.

If you meant to bring them back later, you can invite them again from the same Members screen. If something doesn't look right after a removal, reach out at support@totalvault.ai.
